This Privacy Policy describes how Anatomic Studios Sweden AB, company registration number 559037-3261 (“Anatomic Studios”, “we”, “us” or “our”), collects, uses, stores and shares personal data when you visit our website, use our webshop, use our app or digital tools, place an order, communicate with us, or otherwise interact with us.

Anatomic Studios is responsible as data controller for the processing of your personal data, unless otherwise stated in this Privacy Policy.

2. Personal data we collect

Depending on how you interact with us, we may collect and process the following categories of personal data.

Contact details

Such as your name, email address, phone number, billing address, shipping address, clinic or company name, job title and other contact information.

Order and transaction information

Such as products viewed or purchased, order details, payment status, invoice information, shipping information, returns, exchanges, support requests and order history.

Payment information

Payments are handled through the payment methods available at checkout or otherwise agreed with Anatomic Studios. We may receive payment confirmation, transaction details and limited payment-related information, but we do not store full payment card details ourselves.

Communication and support information

Such as emails, form submissions, support tickets, customer service history, product preferences, design feedback, order-related comments and other information you choose to share with us.

Product, prosthetic and customization information

To create and deliver our products, we may process information related to the product you order or request, such as prosthetic type, cover type, side, size, design preferences, colors, measurements, reference images, photos, scans, fit-related information, production files, design files, 3D files and other product-specific details.

Clinic, partner and business contact information

If you interact with us as a representative of a clinic, company, distributor, supplier or other organization, we may process your name, work contact details, role, organization, communication history and business-related notes.

5. Retention of personal data

How long we keep personal data depends on the type of information and the reason we process it. For example, we may keep order information, product information, measurements, scan data, design files, 3D files and related communication for as long as necessary to produce, adapt, reproduce or support our products, including future reorders, replacements, customer support, complaints and product documentation.

Because many of our products are custom-fit or personalized, previous product and design information may be relevant for several years after the original order, for example if a customer, clinic or prosthetist contacts us for a reorder, replacement, adaptation or follow-up support.

We may also keep information where necessary to comply with legal obligations, such as accounting and tax requirements, or to establish, exercise or defend legal claims.

When personal data is no longer necessary for the purposes for which it was collected, we will delete, anonymize or otherwise limit access to it where appropriate. You may also contact us to request deletion of your personal data, subject to applicable legal limitations.

6. 3D scanning, scan data and TrueDepth camera sensor

Anatomic Studios may use an app, scanning application or digital scanning solution to support the creation of custom-fit or personalized products.

What information may the scanning solution collect?

During scanning, the scanning solution may collect depth information, RGB image information and camera metadata from the device, including information generated by the TrueDepth camera sensor where applicable.

The scanning solution may also collect or generate scan files, 3D files, images, measurements and other product-related data needed to create, adapt or support a product.

Why is this information collected?

The information is used to generate a 3D representation or mesh of the scanned object. This helps us create, adapt, produce, reproduce or support custom-fit and personalized products.

Is the information shared with third parties?

The data is used to create or support the relevant product or service. We do not sell scan data.

We may share data with service providers, production partners or technical providers only where necessary to provide the product or service, operate our systems, store data securely, produce the product, or fulfill the purpose for which the data was provided.

Where is the information stored?

Depending on the scanning workflow, the information may be stored locally on the device, temporarily in the application, uploaded to a secure server, or stored in systems used by Anatomic Studios to process the order or service request.

Where temporary files are created in the app, they may be overwritten during a later scan, removed when the user logs out or uninstalls the app, or deleted in accordance with applicable retention routines. If data is uploaded to our systems, it may be retained where necessary for order processing, production, future reorders, replacements, support, product documentation or legal reasons.

Face data

Our scanning solution is not designed for capturing face data. We do not recommend using the scanning application to capture face data, as such data may be sensitive.

If face data is accidentally captured and stored on our systems, we will not sell, disclose or share such face data for unrelated purposes. We reserve the right to remove such data and may delete it upon request, unless we are legally required or permitted to retain it.

7. Shopify and webshop processing

Our webshop is powered by Shopify. Shopify may process personal data in connection with the operation of the webshop, checkout, payment, security, fraud prevention, analytics and related e-commerce functions.

Information you provide through our webshop may be processed by Shopify and its service providers in order to provide and improve the webshop and related services.
